Phinest AI (“we”, “us”) operates the website at phinest.ai. This policy explains what personal data we collect, why, and what your rights are under EU/UK GDPR.

1. Who we are

Phinest AI is an AI consultancy registered in the Czech Republic, with operations in the United Kingdom. Contact: info@phinest.ai.

2. What data we collect and why

When you email us (info@phinest.ai): we receive your email address and message content. We use this only to respond to your enquiry. Legal basis: legitimate interest (responding to your request).

When you accept cookies — Google Analytics 4: we load Google Analytics to understand how visitors use the site (pages visited, time on site, general location by country). Google Analytics uses cookies and may transfer data to Google’s servers in the United States. No personally identifiable information is sent. IP addresses are anonymised before storage. Google’s own privacy policy applies. Legal basis: consent.

When you book a call via Calendly (only if you consent to third-party cookies): Calendly collects your name, email address, and the time you book. Calendly's own privacy policy applies. Legal basis: consent.

When you interact with the AI voice widget (ElevenLabs) (only if you consent): ElevenLabs may process your voice input to generate a response. ElevenLabs' own privacy policy applies. Legal basis: consent.

Server logs: our hosting provider may log your IP address and browser type for security and performance monitoring. These logs are retained for up to 30 days and are not used to identify individuals.

3. Cookies and local storage

We store your cookie consent choice in your browser’s localStorage (key: cookie_consent). This does not leave your device and is not a tracking cookie. No other cookies are set by us directly.

If you consent to third-party scripts, Calendly and ElevenLabs may set their own cookies. Declining prevents those scripts from loading entirely.

4. Who we share data with

We do not sell or share your personal data with any third parties for marketing. The only third-party processors involved are:

• Google Analytics — website analytics (consent-gated)
• Calendly — appointment scheduling (consent-gated)
• ElevenLabs — AI voice widget (consent-gated)
• Our hosting provider — for serving the website

5. How long we keep your data

• Email correspondence: up to 2 years from last contact, then deleted.
• Calendly booking data: governed by Calendly's retention policy.
• Server logs: up to 30 days.

6. Transfers outside the UK/EEA

Calendly and ElevenLabs are US-based services. When you consent to use them, your data may be transferred to the United States. Both services participate in standard data transfer mechanisms (SCCs or equivalent). If you decline consent, no such transfer occurs.

7. Your rights

Under EU/UK GDPR you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request erasure (“right to be forgotten”)
• Object to processing or restrict it
• Withdraw consent at any time (without affecting prior processing)
• Lodge a complaint with a supervisory authority

To exercise any of these rights, email info@phinest.ai. We will respond within 30 days.

8. Withdrawing consent

To reset your cookie consent choice, open your browser’s developer tools, go to Application → Local Storage → phinest.ai, and delete the cookie_consent key. Reload the page and the banner will reappear.

9. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top will always reflect the most recent version.
